Whistle Blow Policy

Introduction:

Whistleblowing is a vital process through which individuals, such as employee, directors, investors, service providers, vendors, customers, creditors and other stakeholders of an institution, bring attention to unethical practices within organizations to the appropriate authority. By speaking out against misconduct, whistleblowers play a crucial role in promoting transparency, and holding individuals and institutions accountable.

Purpose:

  • Promoting Transparency:
    The primary purpose is to promote transparency within an organization. By establishing clear channels and procedures for reporting misconduct, stakeholders are encouraged to come forward without fear of reprisal.
  • Fostering Accountability:
    By providing an avenue to report unethical conduct. This promotes a culture where ethical conduct is valued and deviations from established norms are addressed promptly.
  • Preventing and Addressing Misconduct:
    It aims to proactively prevent and address misconduct within an organization. By providing stakeholders with a safe and confidential means to report unethical behavior, fraudulent activities, compliance violations, or any other form of misconduct, organizations can detect and mitigate problems. Timely intervention helps maintain the organization’s integrity, mitigates risks, and avoids potential legal or regulatory consequences.
  • Enhancing Organizational Culture:
    It contributes to the development of an ethical and accountable organizational culture. By promoting open communication, trust, and accountability, these initiatives encourage stakeholders to adhere to ethical standards and norms.

Reporting Channels for Whistle Blowing Complaints

Stakeholders should raise his/her concern using the following reporting channel:

All such mails should be marked “confidential” on the outer envelope and “whistle blowing” on the inside envelope for maximum confidentiality.

All complaints being raised should have the following details:

  • Complete background of event (location, date etc.)
  • Nature of complaint
  • Reasons for the complaint
  • Names/designation of individuals against whom the complaint is being reported
  • Any other information/supporting evidence if available;

In case a complaint is raised by or against the Head of Compliance, the same shall be reported directly to the Chief Executive Officer of PMRC at ceo@pmrc.com.pk.

Any aggrieved party may file a complaint in accordance with prescribed procedures with the Head of Compliance as soon as the reportable matter comes to her/his attention.
